This policy explains how AmeriTax & Accounting handles information through this website and AmeriTax Scheduling, our consultation scheduler. Separate professional engagements and document services may have additional privacy notices.
Information you provide
When you book a consultation, we collect your name, email address, phone number, whether you are a new or existing client, your consultation topic (personal tax, business tax, rental property tax, bookkeeping, or payroll), meeting format, and appointment time. We store these details with booking identifiers and status to arrange your appointment, avoid duplicate bookings, and help resolve scheduling problems. We also receive information you choose to provide when contacting our office.
Use Verifyle through your existing AmeriTax connection for tax documents and sensitive financial information. The appointment form is not a document submission service.
Google Calendar and AmeriTax Scheduling
Only the authorized AmeriTax owner connects a Google account. Clients do not need to grant access to their Google accounts. The connection checks the owner’s verified email address, reads busy time intervals to determine availability, and creates consultation events. Visitors see available appointment times, not the contents of the office calendar.
The requested calendar permission permits reading and managing events; the current scheduler uses it to create appointments, check changes, and cancel appointments when requested. Each event includes your name, email address, phone number, consultation type, new or existing client status, meeting location, and time. Google receives that information to provide calendar services and reserve the appointment. People with access to the office calendar may be able to see event details according to its sharing settings.
We store the connected account’s email, connection time, encrypted authorization credentials, and appointment event identifiers. Busy intervals are processed for availability checks rather than saved as a copy of the calendar. Google account data is used for scheduling and connection support, not advertising, sale, or training general-purpose AI models.
AmeriTax Scheduling follows the Google API Services User Data Policy and Google Workspace user data policy, including their Limited Use requirements. Transfers and human access to Google-derived data are limited to what those policies permit, including authorized scheduling, security, and legal obligations.
Appointment emails
Confirmed bookings receive appointment information by email through Zoho Mail. Appointment reminders are sent before the meeting when enabled. Booking does not require an email RSVP. Zoom links are sent separately by Stacey. The email service receives the recipient address and the information in the appointment message.
Website services and sharing
Our hosting and infrastructure providers, including OpenAI Sites and Cloudflare, process website requests and stored booking records to operate the site. Technical records may include IP addresses, browser information, requested pages, timestamps, and errors. Security or sign-in features may use necessary cookies. The website does not include advertising trackers.
The payroll estimator calculates in your browser; its entries are not submitted as a quote request or saved by the estimator. If you choose a Zoom appointment, we send the meeting link separately. Zoom, Google, and Verifyle handle information within their services under their own privacy policies. Website links to other services take you to those services.
We use website booking information to deliver and support your consultation. The scheduler does not sell booking information or share it for targeted advertising. Information may also be disclosed when required by law or needed to address fraud, misuse, or security incidents.
Storage, retention, and your choices
Booking records remain in our scheduling records unless removed; the scheduler does not automatically delete them after an appointment. Connected-account credentials remain stored until removed or replaced. We restrict calendar setup to the authorized owner and encrypt saved Google credentials. No internet service can guarantee absolute security.
Contact us using the details below to request access, correction, or deletion of your website booking information. We may need to verify your identity. Some records may need to be retained for legal obligations or an ongoing service matter; we will explain any limits that apply. Deleting a website record does not automatically delete copies of appointment emails or saved calendar entries.
The connected Google account owner can revoke AmeriTax Scheduling access through Google Account connections and request removal of the saved connection information. Revoking access stops future authorized calendar requests but does not itself erase existing appointments or stored records.
